Youth Manager

Job Description: 

The incumbent will lead and manage the India-based process of organising the Oxfam International Youth Partnerships Kaleidoscope event. She/he work closely with the OIYP team based in Sydney, matrix manage the Events Operation Officer, and manage day-to-day event planning.  This is a large scale residential event, scheduled to run over 8 days.  There will be approximately 300 participants – Action Partners – aged between 18 and 25 and more than 150 volunteers in attendance.  The event is the beginning of a three year program for Action Partners and is a partnership between Oxfam India and Oxfam Australia.  The Youth Manager is required to attend the full event and will be expected to live on-site for the duration.

Key Responsibilities 

  • Work closely with the OIYP Coordinator (in Oxfam Australia) to manage and deliver overall operations for Kaleidoscope, as well as provide day-to-day management support and supervision of the Event Operations Officer.
  • Oversee the logistic coordination for all Oxfam visitors, including accommodation, itinerary, travel arrangements, visa, work permits, assisting with the location of housing and procurement of goods, set up of meetings, etc.
  • Liaise with all relevant Oxfam India departments to ensure that the Kaleidoscope event is best utilised to launch and support Oxfam India youth strategies and initiatives.
  • Work with Oxfam India Marketing and Communication Department, Fundraising team to secure in-kind sponsorship and donations.
  • Work with Oxfam India Marketing and Communication Department, Communication team to define and deliver a strategy for publicizing the event in local and international media.
  • Serve as liaison point between the Oxfam India, Oxfam Australia, and other relevant India-based stakeholders, to ensure communication pathways facilitate event planning.  Maintain ongoing communication with OIYP team members to ensure event coordination is complementary to overall OIYP activities, participate in team meetings and other relevant planning sessions, and advise the Oxfam senior management of arising issues and propose appropriate solutions.
  • Provide input into OIYP Kaleidoscope Program, specifically the Learning Marketplace sessions, facilitator contacts, excursions and community visits, through direct liaison with the OIYP Learning and Development Coordinator to ensure proper content delivery.
  • Lead Oxfam India 'side programs', that is any parallel programs initiated by Oxfam India in support of Oxfam India youth strategies.
  • Function as Government liaison for all event related planning and activities.
  • Lead management of Welcome Ceremony for the Kaleidoscope event, in support with the Art and Cultural Project Coordinator from August to November 2010.
  • Develop an Oxfam India plan for support to Indian Action Partners, as well as other long term youth strategies.
  • Provide efficient and cost effective procurement of furniture, equipments and supplies where needed.
  • Active participation in the development of all risk and security management plans for the Kaleidoscope event to ensure the security of all international participants travelling to New Delhi, including the development of travel guidelines outlining specific security risks and measures for participants travelling to India.
  • Manage pool car, housekeeping and mail/courier services, as well as maintain asset inventory and ensure its maintenance and insurance.
  • Liaise with Oxfam India home office, police, labour office and any other relevant local Indian authorities.
  • Liaise with Oxfam India staff to ensure compliance with local procedures and operating agreements, and participate in office staff meetings where needed.
  • Liaise with Oxfam India and Oxfam Australia on specific post-event activities as agreed in advance, including adequate documentation of activities including progress and evaluation reports.
  • Other related duties as delegated by Oxfam India.

Qualifications and Experience       

  • At least 8 years of senior management experience in multinational organizations/large scale.
  • Diplomacy tact and negotiation skills.
  • Understanding of local & global youth active citizenship across diverse regions
  • Sensitivity to cultural differences, and the ability to work in a wide variety of cultural contexts.
  • Experience pursuing and acquiring in-kind sponsorships.
  • Numerical skills – accounting or bookkeeping experience.
  • Willingness to travel as and when required.
  • Good written and spoken English and Hindi communication skills.
  • Excellent managerial skills.
  • Ability to work under pressure, manage conflicting priorities, and with limited budgets
  • Familiar with usual IT Packages (e.g. email, word, spreadsheets, database, etc.)
  • Good communication and public relation skills.
  • Knowledge of international social justice and development issues - Desirable

Relocation  During the course of employment the post holder may be required to move base on a temporary or permanent basis to any workplace controlled by Oxfam India
